What is the key purpose of this role?

Job Purpose

To coordinate Shipping Business Line (SBL) budget preparation and performance reporting, provide technical and administrative support to the Ship Management Team in management of the Ship Management and Japanese Agency Contracts and administrative support to the Barrow Marine Terminal and the Performance and Asset Management Team as required.

Key Expectations of the Job Holder

  • Manage the SBL input to the NTS Business Planning and financial reporting process, including
    • developing and implementing a process and annual plan to support SBL business plan preparation and financial reporting
    • ensuring timely input of information from departmental heads, including monthly end of year forecasts
    • arranging management team reviews of business plan submission
    • arranging monthly meetings for the SBL management team with the Finance Business Partner to review financial performance (including maintaining a log of actions / decisions)
    • overall control of SBL summary budget and trend analysis
  • Responsible for the SBL governance framework and performance reporting structure, ensuring alignment with wider company requirements, including:
    • management of the SBL Quarterly Business Review Meeting
    • dashboard performance reporting to the NTS Executive, NTS Board (including sub-committees) and NDA Accounting Officer Review
    • supporting the Head of SBL Performance and Asset Management in the management of SBL strategic risks
  • Provide technical support on all aspects of delivery of the Ship Management and Japanese Agency contracts, including:
    • Budget support, financial control and trend analysis
    • Technical planning support
    • Crewing planning support
  • Manage Quality Assurance systems for the Ship Management Team area of responsibility including;
    • Process changes / revision updates
    • Form changes / revision updates
    • Co-ordination of quarterly reviews
    • QA system audit support as required
  • Provide a formal visit service for shipping, including coordination with the Ship Manager and Barrow Marine Terminal
  • Provide secretarial and committee administration services to:
    • Ship Management Contract Operation / Finance meetings
    • Ship management commercial meetings
  • Responsibility for Ship Management Team performance reporting including:
    • Team performance dashboard co-ordination and issue
    • Voyage fuel consumption dashboard data co-ordination and issue
  • Assist as required with:
    • Completion of shipping estimates for the business development team
    • Voyage planning and operational issues
